Across 448 inbound inquiries to 4 music schools using Upbeat Sales (2026-04-26 to 2026-09-15), 65% arrived outside Monday–Friday 9am–5pm: 25% on weekday evenings, 27% on weekends, 12% overnight. The busiest hour was 3pm; Tue was the second-busiest day of the week. Two things to read alongside that number. First, every business in this sample had approval mode on — a person reviewed the draft before it sent — so this is the speed of automation with a human in the loop, not the theoretical floor. Second, the 25% over 24 hours are not slow replies: they are leads that were texted later for another reason (a missed-call follow-up, a re-engagement) after the initial contact happened by phone or in person. The distribution is bimodal because the trigger either fired or it did not.
Leads that arrived as Calendly bookings (309 of 448) are excluded from this metric. They had already booked a trial; their first text is timed to the appointment (median 1.6 days after booking), which measures reminder timing, not response time.

The booked figure is high because 69% of the cohort entered as a Calendly booking — they arrived already on the calendar. The enrollment rate and the 15% cancel-or-no-show rate are the numbers a studio owner should compare against. A quarter of enrollments took longer than 24.2 days, which is the argument for following up past the first week.
Method
- Source. Lead, message, and stage-change records from 4 music schools using Upbeat Sales, 2026-04-26 to 2026-09-15. Aggregated in a single query; no lead- or business-level data is published.
- Cohort. 503 leads arrived through an inbound integration (Calendly, Mindbody, WordPress, Elementor, or a custom webhook). CSV imports and manually entered leads are excluded: their timestamp is the entry time, not the inquiry time.
- Sync filter. 55 leads were dropped because their business and source produced five or more leads inside one ten-minute window — a backfill, not a person. Final n = 448.
- Arrival timeis the lead's creation timestamp converted to the business's own timezone. Business hours are Monday–Friday, 9:00am to 4:59pm.
- Inquiry vs booking. Calendly leads (309) had already booked when they arrived and are reported separately in the first-text section. All other sources (139) are treated as inquiries.
- First textis the earliest sent SMS to the lead minus the lead's creation time, for the 61 inquiries that received one.
- Funnel counts the stage a lead ever reached, from stage-change history plus the current stage. Intermediate stages are under-recorded because operators skip them, so only booked, enrolled, cancelled/missed, and closed-lost are reported.
- Limits. Four businesses, one industry, five months. Treat the proportions as a first real measurement, not a population estimate. The page is regenerated from the same query as the data grows; the date above is the last refresh.
